Batches allow you to track parts by lot, including their origin, expiry, and documentation. Use batches to maintain full traceability and ensure compliance with maintenance requirements.

What is a batch?

A batch (or lot) represents a group of parts that share the same origin.

A batch typically includes:

  • Batch or lot number

  • Supplier or source

  • Production or delivery details

  • Expiry date (if applicable)

  • Associated documentation

Batches are used to track where parts come from and how they are used.


Why batches are important

Batches are essential for:

  • Traceability – Knowing exactly where a part came from

  • Compliance – Maintaining proper documentation for audits

  • Safety – Identifying affected parts if an issue is discovered

  • Expiry tracking – Managing parts with limited shelf life

Without batch tracking, it becomes difficult to prove airworthiness and compliance.


How batches work in MaintSpace

Batches are created when items are received into inventory.

When receiving parts, you:

  • Enter the batch or lot number

  • Add expiry dates (if required)

  • Upload documentation (e.g. certificates)

Each batch is then tracked separately in the system.


Using batches in daily operations

Once created, batches are used throughout your workflow:

  • Stock is tracked per batch

  • Parts are reserved from specific batches

  • Work orders use parts with full batch traceability

  • Expiry dates are monitored automatically

This ensures you always know which parts were used and where.


Expiry and batch monitoring

MaintSpace helps you track batch validity:

  • Expired batches are flagged

  • Upcoming expiries are highlighted

  • Alerts help prevent the use of invalid parts

Always check batch status before using parts in maintenance.


What happens if there is an issue

If a batch is found to be defective or non-compliant:

  • Identify all affected parts in the system

  • Trace where the batch has been used

  • Move remaining items to Quarantine

  • Prevent further use

This allows you to react quickly and maintain safety.
