How to receive items

Receiving items allows you to add parts into your inventory and verify that everything is correct before use. Use receiving inspections to ensure traceability, documentation, and compliance.

When to receive items

You should receive items when:

  • Parts arrive from a supplier

  • Items are delivered from a purchase order

  • Stock is returned or transferred into your inventory

Receiving items ensures they are properly registered and ready for use.


Receive items

Follow these steps to receive items into inventory:

1. Go to Inventory → Receiving Inspections
2. Click “Receive Items”
3. Select or create the related purchase order (if applicable)
4. Add the items being received
5. Enter quantities, batch numbers, or serial numbers
6. Upload any required documentation
7. Complete the receiving inspection

What to check during receiving

Before completing the receiving inspection, verify:

  • The correct part number (P/N)

  • The quantity received

  • Condition of the items

  • Certificates or documentation (e.g. release certificates)

  • Expiry dates (if applicable)

Only approve items once everything has been confirmed.


Handling different item types

Standard items

Enter the quantity received and assign a storage location.

Serialized items

Register each item with its unique serial number.

Batch-controlled items

Enter batch or lot numbers and expiry dates for traceability.


What happens after receiving

Once the receiving inspection is completed:

  • Items are added to stock

  • They become available for reservation and use

  • All movements are recorded in transactions

  • Documentation is stored for future reference


If something is wrong

If items do not meet requirements:

  • Do not approve the receiving inspection

  • Move items to Quarantine

  • Add notes or documentation explaining the issue

This helps prevent incorrect or non-compliant parts from being used.

  • Use quarantine for any uncertain or non-compliant items
