Plan work → Identify required parts → Check stock → Reserve or order → Confirm availability

Step 1: Identify required parts

Before starting maintenance:

  • Review the work package or work order

  • Identify all required parts and materials

This ensures nothing is overlooked.


Step 2: Check inventory

Go to Inventory → Stock and verify:

  • Parts are available

  • Correct quantities are in stock

  • Items are in the correct location

Also check:

  • Batch validity (expiry dates)

  • Serialized items (if applicable)


Step 3: Reserve parts

Once parts are confirmed available:

  • Reserve them for the work order

  • Ensure they are allocated to the correct job

This prevents parts from being used elsewhere.


Step 4: Order missing parts

If parts are not available:

1. Go to Purchasing → Purchase Orders
2. Create a purchase order
3. Order required parts
4. Track delivery status

Make sure orders are placed early to avoid delays.


Step 5: Receive and verify parts

When parts arrive:

  • Complete Receiving Inspections

  • Verify documentation and condition

  • Add parts to inventory

Only use parts once they are approved and available.
