How to assign roles
Roles define what a user can see and do in MaintSpace. Assign roles to ensure users have the correct access for their responsibilities.
When to assign roles
You assign roles when:
-
Creating a new user
-
Updating an existing user’s access
-
Changing responsibilities within your team
Correct role assignment ensures both efficiency and system security.
Assign roles to a user
Follow these steps to assign roles:
1. Go to Administration → Users
2. Find the user you want to update
3. Click “Roles” next to the user
4. Select or update the assigned roles
5. Save the changes
Understanding roles
Roles control access across the system.
Each role defines:
-
What modules the user can access
-
What actions they can perform
-
What data they can view or edit
Users can have one or multiple roles.
Common role types
Typical roles include:
-
Admin – Full access to all modules and settings
-
Maintenance planner – Plan maintenance and manage work orders
-
Mechanic – Execute work and log activities
-
Production controller – Oversee execution and workflows
Assign roles based on the user’s actual responsibilities.
Best practices for assigning roles
-
Only give users the access they need
-
Avoid assigning unnecessary roles
-
Use combinations of roles instead of overloading one role
-
Review roles regularly to keep access accurate
What happens after assigning roles
Once roles are updated:
-
The user’s access is updated immediately
-
New permissions are applied across modules
-
The user can perform actions based on their role
Tips
-
Start with minimal access and expand if needed
-
Use roles consistently across your organization
-
Regularly review user permissions
-
Use impersonation to verify user access if needed
